Edit a bill after saving, with a record of every change

Can I edit a bill after saving it?

Yes. In Tap & Bill the shop owner can edit any saved bill from the last 30 days: add or remove pieces, change size, quantity, rate or discount, the customer or mobile number, the payment mode or the salesman. Pick a reason and save. The bill keeps its number and date, the PDF says “Revised”, and the old version stays in the bill’s change history. Stock, udhaar and reports update by themselves. Staff can’t edit saved bills; they can cancel their own bill within 15 minutes.

Mistakes happen at a busy counter. The customer swaps an M for an L after the bill is printed, the cashier types ₹1,299 instead of the offer price of ₹1,199, a UPI payment is saved as cash, or the bill goes to the wrong mobile number. Cancelling and billing again fixes the figures, but leaves two bill numbers for one sale and a customer holding a bill that no longer matches.

With Edit bill, the owner corrects the same bill. It keeps its number and date, the reason is recorded, and the version it replaced stays in the bill’s history, so nothing disappears and nobody can quietly change a bill after the customer has gone.

What you get

  • Only the owner edits; staff see why they can’t
  • Any bill from the last 30 days
  • Items, size and colour, quantity, rate, discount, customer, mobile, payment mode or split, udhaar and salesman
  • Same bill number and date; “Revised” with the time on the bill PDF
  • A reason on every edit: four ready reasons, or Other with your note
  • Change history: each old version, who changed it, when and why
  • Stock, udhaar, customer spend, reports, the GST report and salesman incentive follow the bill
  • Optional: send the updated bill on WhatsApp
  • On the computer and the Android app, in English, Hindi or Gujarati, on every plan

How it works

  1. Open the bill

On the computer: Bills → open the bill → Edit bill. In the Android app: open the bill from history → Edit bill (needs internet).

  2. Change what was wrong

The bill opens on the billing screen: add or remove pieces, change size, quantity, rate or discount, the customer, the payment mode or split, or who sold it.

  3. Pick a reason and save

Wrong item or size, wrong price or quantity, wrong customer or mobile, wrong payment mode, or Other with a note. Tick Send updated bill on WhatsApp if the customer needs it again.

  4. See the change history

The bill shows an Edited badge and a Change history: who changed it, when, why, and every line that changed.

Edit, cancel or return: which one to use

Tap & Bill has three ways to change a sale after the bill is saved. Each one leaves a record; none of them deletes anything.

What happenedUseWhat the record shows
Wrong size, rate, quantity, customer or payment mode, noticed within 30 days, nothing returned yetEdit bill (owner)Same bill number and date, marked Edited, with the old version and the reason in its history
The sale should not have happened (duplicate bill, customer walked away)Cancel bill (staff: own bill within 15 minutes; owner: any bill)Bill stays in history stamped CANCELLED with the reason; it leaves sales and reports

Example: one mistake, fixed in the same bill

Saturday evening. Bill INV-0412: a kurta in M at ₹1,299 and leggings at ₹399, ₹1,698 in cash, sold by Ravi. Ten minutes later the customer is back: the kurta should be an L, the kurta was on offer at ₹1,199, and she had paid by UPI, not cash. The owner opens INV-0412, changes the kurta to L at ₹1,199, sets the payment to UPI, picks “Wrong item or size” with the note “customer took size L”, and saves.

If the shop charges GST, the tax on every line is worked out again exactly as on a new bill, with the bill’s own GST setting: a bill made without GST stays without GST even if you switch GST on later.

Is it okay to edit a GST bill after it is issued?

A bill is your record of a sale, and the GST you report has to match what really happened. Some practical rules (a guide, not tax advice; check with your CA):

  • Fix it before you file. Bills to ordinary customers in your state go into your GSTR-1 as totals by tax rate. A mistake corrected before you file that month’s or quarter’s return is already right in the totals you file. Most counter mistakes are noticed the same day.
  • Already filed? Tell your CA. Totals of an earlier period are corrected in Table 10 (amended B2C) of a later GSTR-1, and invoices to GST-registered buyers in Table 9A (amended B2B), as the GST portal’s GSTR-1 guide describes.
  • Goods came back or the price came down later? That is a credit note under Section 34 of the CGST Act, which in Tap & Bill is a return against the bill. A credit note has to be declared by 30 November after the end of the financial year of the sale (or the annual return, if filed earlier).
  • Never edit to hide a sale. Tap & Bill keeps every earlier version with who changed it and why, so the record of what happened stays.
  • e-invoices can’t be edited once they have an IRN; they are cancelled and issued again. Tap & Bill does not make e-invoices.

What it does not do

  • No edits to bills older than 30 days, cancelled bills, or bills with a return against them: use return / exchange.
  • Only the owner login edits. Staff can’t, and they see a message saying so.
  • The Android app needs internet to edit a bill (billing itself works offline).
  • The bill number and date never change, and nothing is deleted: removed lines stay in the old version in the history.
  • It edits bills made in Tap & Bill. It is not a PDF or photo bill editor.

Worried about staff and discounts rather than mistakes? Mol-Bhav Guard stops a staff bill below your lowest price without your PIN, and the owner sees cancelled bills with their reasons in the reports.

Edit saved bill: questions

How do I edit a bill after saving it?

Log in as the owner. On the computer, open Bills, open the bill and click Edit bill; in the Android app, open the bill from history and tap Edit bill (with internet on). Change items, rates, the customer, the payment or the salesman, pick a reason and save. The bill keeps its number and date and shows “Revised” on the PDF.

Can staff edit a saved bill?

No. Only the owner login can edit a saved bill, and every edit is recorded with a reason. Staff can cancel a bill they made themselves within 15 minutes, with a reason; after that only the owner can cancel or edit it.

Does the bill number change after editing?

No. The bill keeps its number and its original date and time. The bill PDF shows “Revised” with the time of the last edit, and the bill gets an Edited badge in history.

What happens to stock and udhaar when I edit a bill?

They follow the new version. Pieces taken off the bill go back into stock and added pieces go out (if you use Stock & barcodes), the customer’s udhaar due and total spend change by the difference, and reports, the GST report, the galla and salesman incentive read the bill as it is now. If the customer changed, the visit moves to the new customer.

How old a bill can I edit?

Up to 30 days old. Older bills, cancelled bills and bills with a return against them can’t be edited; for those, take a return or exchange, which makes a credit note against the bill.

Is it legal to edit a GST invoice after issuing it?

Correcting a genuine mistake before you file the return for that period keeps your filed totals right. After filing, the change is shown as an amendment in a later GSTR-1, and goods returned or a later price cut are handled with a credit note. Keep the record honest: Tap & Bill keeps every old version with the reason. Ask your CA about your own case.

Will the customer get the corrected bill?

If you tick “Send updated bill on WhatsApp”, yes. With automatic WhatsApp on (Starter, Growth, Pro), it goes by itself within your monthly messages; otherwise WhatsApp opens on your phone with the bill ready to send, free. Leave it off if the customer doesn’t need the bill again.

What does “revised bill” mean?

A revised bill is a corrected version of a bill that was already given, with the same bill number. In Tap & Bill the word “Revised” and the time of the change are printed on the bill PDF, and the earlier versions stay in the bill’s change history.

Which plan has Edit bill?

Every plan, from Basic at ₹199 a month (or ₹1,499 a year), with a 14-day free trial. An edit is not a new bill, so it doesn’t count towards your monthly bills.
