Billing machine for shop: price, and when a phone app is better
Should a small shop buy a billing machine or use a billing app on a phone?
Standalone billing machines were listed at about ₹9,790 to ₹18,500 in October 2026 and usually have no monthly fee. A phone billing app needs only a 58 mm Bluetooth printer, listed around ₹2,000 to ₹3,000, and a monthly plan such as Tap & Bill from ₹499. Over two years the cost is similar. The app adds WhatsApp bills, sales on the owner’s phone, udhaar, exchanges and an online backup; if you only need a printed receipt, a machine is fine.

What a billing machine is
A standalone billing machine (also sold as an electronic cash register or ECR) is a keypad, a small display and a 2 or 3 inch thermal printer in one box. Typical models store item codes with prices, print the shop name and GST lines, and many run on a battery through power cuts. Some newer models add Bluetooth, Wi-Fi or a phone app; what they can do varies a lot by model.
What you need to bill from a phone instead
- An Android phone you already have (or any computer with a browser, for the counter).
- A 58 mm Bluetooth thermal printer that supports ESC/POS, listed around ₹2,000 to ₹3,000. An 80 mm printer suits a busy counter with GST bills.
- Thermal paper rolls: the same as a billing machine uses.
- A billing app. Tap & Bill is ₹499 a month on Starter, with a 14-day free trial and the APK free to download.
2-year cost, before GST
| Billing machine | Phone + printer + Tap & Bill Starter | Phone + printer + Tap & Bill Growth | |
|---|---|---|---|
| Upfront | ₹9,790 to ₹18,500 | ₹2,000 to ₹3,000 (printer) | ₹2,000 to ₹3,000 (printer) |
| Every month | Usually nothing; ask about AMC and update charges | ₹499 | ₹999 |
| First year | ₹9,790 to ₹18,500 | ₹7,988 to ₹8,988 | ₹13,988 to ₹14,988 |
| Two years | ₹9,790 to ₹18,500 | ₹13,976 to ₹14,976 | ₹25,976 to ₹26,976 |
Paper rolls cost the same either way, so they are left out. The honest reading: over two years a mid-priced machine and the phone setup on Starter cost about the same; the cheapest machines cost less, and Growth (stock by size, barcodes, 5 staff logins) costs more. ₹499 a month is about ₹17 a day. The difference is what each one does.

Questions to ask before you buy a billing machine for a cloth shop
- Can I change the price on one bill without changing the stored price? (Bargaining happens on most bills.)
- When I change the price or give a discount, does the GST rate switch between 5% and 18% by the price of each piece?
- Can I print the size and colour under the item, for exchanges?
- How do I take back a piece against an old bill and give a credit note?
- Can the customer get the bill on WhatsApp, and from which number?
- Can I see today’s sales on my phone when I am not in the shop?
- How do I give my CA the month’s sales and GST figures?
- Is there an AMC or a charge for updates when GST rates change?
- What happens to my bills if the machine breaks or is stolen?
When a billing machine is the better choice
- You want no monthly fee at all and will use the machine for years.
- You only need a printed receipt: no WhatsApp bills, no udhaar, no reports away from the shop.
- Nobody at the counter is comfortable with a phone app, or you want a device that does nothing but billing.
If any of the questions above matter to you, a phone and a billing app usually fit a clothing counter better.

Decide
